Job Description:

Shell Petrol A.Ş. (SPAS) is a 100% subsidiary managing the Company Operated (CO) retail network in Turkey, with a growing number of sites, expanding CVPs, and an increasingly complex operational structure.
Through the “SPAS Operations Admin” role, SPAS aims to:
• Establish centralized ownership of administrative and compliance processes within the SPAS subsidiary
• Ensure effective tracking and timely renewal of regulatory documents for each site (e.g., TSE, TAPDK, and other permits)
• Improve document management practices (contracts, valuable documents, official records)
• Strengthen structured communication and feedback mechanisms with RBAs and field teams
• Support asset tracking processes in coordination with field teams
• Maintain audit-ready documentation at all times

Key Responsibilities
• Manage the contract and document lifecycle of SPAS
• Track regulatory renewals for all sites (TSE, TAPDK, seals, etc.)
• Coordinate STAŞ & SPAS signature processes within the CO business
• Ensure compliance with regulatory requirements and minimize risk of penalties through proactive document and process management
• Ensure centralized archiving of documents (physical and SharePoint)
• Manage tracking and archiving of valuable and fiscal documents
• Support asset tracking processes in collaboration with field teams
• Coordinate communication and collect structured feedback from RBAs
• Manage physical document processes with banks, notaries, and public institutions

Organization & Interfaces
This role will be part of the SPAS Operations & Performance team and will work closely with SPAS HR, Finance, and Legal teams.
Qualifications / Requirements
• Bachelor's degree
• Experience in operations, administration, or compliance-related roles
• Strong organizational and document management skills
• Experience with regulatory processes is an asset
• Proficiency in MS Office and document management tools (e.g., SharePoint)
• Strong communication and stakeholder management skills.
